The Position:
Directly Manage Front Desk operations Be a leader of the day-to-day activities of our growing practice including opening/closing procedures, time management, cleanliness & supply of the entire facility and processing Payroll Monitor end to end patient journey (lead generation, booking, treatment, follow up, return visits and patient retention) Be a champion of our EMR and payment collections systems Monitor Inventory and reconciliation Guide patient calls to effectively book consultations, schedule appointments and procedures Greet patients with VIP hospitality when they arrive and throughout the entirety of their visit Contribute to our social media marketing strategy Be involved in all aspects of growing and managing the Poppy Team including maintaining job descriptions and overseeing staff goals.
Model a Poppy professional attitude by being a creative problem solver and having an ability to navigate difficult situations calmly Foster and maintain a motivating team environment sincerity, warmth and fun for staff and guests.
Assist with monitoring and evaluating staff performance, conduct reviews and provide feedback, making sure each team member understands and adheres to company guidelines Assist in recruiting, screening, interviewing and hiring into our growing team Maintain staff contracts, ensuring accuracy and compliance Implement the Poppy method of VIP Hospitality Greet patients and ensure they are treated with the highest level of customer service throughout the entirety of their visit by meeting and anticipating spoken and unspoken needs (offer beverage etc) Monitor customer satisfaction through direct communication with patients through email, EMR, and social media channels and communicate issues to ownership for compensatory handling.
Educate patients on treatment options appropriate for patient concerns Support staff by following daily patient flow and adherence to schedule.
Marketing Work closely with ownership to implement marketing efforts through consistent brand portrayal; ensure the Med spa is always staged for maximum buyer impact.
Create and publish all necessary internal and external media.
Manage in-office photography; sort and file digital photographs to contribute to patient treatment tracking and social media marketing Develop and grow retail sales through monitoring and follow-up.
Monitor lead conversion and ROI associated with lead generation Liaise with vendors regarding equipment and supplies The Right Fit:
A quick learner with problem-solving and critical thinking skills - someone who takes the initiative to figure out what needs to be done through creativity and flexibility Willingness to grow individually as well as part of a team Customer-service oriented with ability to quickly establish rapport with patients Obsessively motivated, reliable, and resourceful team player Has an aptitude for or ability to quickly master communication around aesthetic procedures Superior organizational skills, follow-through skills and attention to detail Able to anticipate needs and think ahead Excellent sales skills with the ability to upsell by adding value for patients and converting patients to other appropriate treatments Must-Haves:
2-3 years experience in medical and/or aesthetic patient care Excellent customer service skills with outstanding phone, written and verbal communication skills Positive and upbeat personality Professional and mature demeanor with presentable appearance Well-rounded and able to quickly learn practice operations, technology, social media and other applicable duties Ability to set the tone for the practice with optimal professionalism and grace ------------------------------------------------------------------------------------------------------------------------------- This is a full-time position Pay:
